Cut-Over the mailflow

What is a Cut-Over?

When you migrate to a new email system, you must notify the internet by changing the MX records with your DNS provider (i.e. when you move to a new home, you must notify the Post Office of your address change).

How can you migrate your mailbox?

-          Do it yourself: We will show a procedure in Outlook 2010 using a PST file. The configuration of your existing mailbox in the Outlook client should allow an export of your mailbox content to a PST file.  

-          Migration by Telenet: Contact us at 0800 66 008.

Make sure you have created alias addresses and forwards in CloudOffice if required.

Lower the TTL for the domain name

Use the following procedure for viewing and changing the TTL value: http://onlinehelp.cloud.telenet.be/article.php?id=364

  1. Write down the TTL value
  2. Change the TTL value to 900
  3. Await the TTL period that was previously defined. Use MXToolbox to verify if the value is defined correctly: http://mxtoolbox.com
  4. Perform the Cut-Over

  1. Login to MyAccount: Click on Domain Names, click on your domain name
  2. Click on Resourcerecords and look for the following records, deleteeach record in case you find it:
    • CNAME record with alias: autodiscover.your-domain-name.be.
    • MX record(s)
  3. Scroll down to Hosting Configuration under Information
  4. Click Add selected records

  5. Click on Activate these settings in the yellow bar

  6. Await the new TTL period
  7. Performing the migration yourself? Follow now the Migrate your mailbox procedure.

Lower the TTL for the domain name

  1. Write down the TTL value of the domain name records. What is the TTL?
    • Not familiar with DNS or records? Transfer your domain name to Telenet hosting & cloud so we can help you. Contact us at 0800 66 008.
  2. Lower the TTL for the domain name records to a very small value (i.e. one minute). 
    • (1 minute = 60 as value | 15 minutes = 900 as value | 1 hour = 3600 as value)
  3. Await the TTL period that was previously defined. Use MXToolbox to verify if the value is defined correctly: http://mxtoolbox.com
  4. Perform the Cut-Over

  1. Login to MyAccount: Click on Shared Hosting, click on your CloudOffice package
  2. Click on the action Manage associated domains
  3. Add the following records on your DNS.



    • Note: make sure you only have 1 MX record after these changes.
  4. Await the new TTL period
  5. Performing the migration yourself? Follow now the Migrate your mailbox procedure.

Migrate your mailbox

  1. Export the mailbox in a PST file with Outlook: http://onlinehelp.cloud.telenet.be/article.php?id=2972
  2. Import the PST file: http://onlinehelp.cloud.telenet.be/article.php?id=2973
  3. If you were using the OfficeMail or Windows Web Intro product from Telenet:
    • Contact us at 0800 66 008 for cancelling the old package, or
    • delete the old mailbox after migration in MyAccount
